How to write an RFQ for custom flavored matcha

The information XIAO TEA needs to qualify a one-metric-ton-per-flavor custom matcha project.

PUBLISHED COMMERCIAL GUIDEReviewed against XIAO TEA's current published commercial terms · 3 August 2026.

DIRECT ANSWER

A useful RFQ states the buyer company, destination market, primary application, flavor direction, expected first volume per flavor, target launch timing and technical constraints. Add target cost-in-use, packaging and regulatory needs when known; avoid sending only a flavor name.

USE THIS GUIDE IF

  • Procurement, product and R&D teams preparing a supplier brief
  • Brands with a co-manufacturer or production plan
  • Importers qualifying a repeat-volume opportunity

NOT THE RIGHT ROUTE IF

  • Anonymous price-only requests
  • Projects below one metric ton per approved flavor
  • Requests that omit the finished-product application

BUYER DECISION TABLE

Seven fields that determine project fit

SituationDecisionReason
Company and buyer roleRequiredClarifies who evaluates and who purchases.
Destination marketRequiredGuides flavor, labeling and commercial context.
Primary applicationRequiredDefines the relevant test matrix.
Flavor directionRequiredFrames the sensory target without pretending it is a full formula.
First volume per flavorRequiredConfirms the one-metric-ton commercial fit.
Launch timingRequiredShows whether evaluation and production timing are realistic.
Constraints and target costRecommendedPrevents technically attractive but commercially unusable samples.

Describe the finished product before the flavor

Strawberry matcha for an iced dairy latte is a different development question from strawberry matcha for an oat powder mix or a baked filling. The application determines how the base, aroma, sweetness and aftertaste should be evaluated.

If multiple applications are essential, name the priority application first. Multi-application validation expands the testing scope and may require a separate quotation.

Give commercial constraints early

Expected first volume, launch date, target market and cost-in-use help determine whether a custom project is appropriate. Hiding the quantity until after sampling wastes time on both sides.

The website project form is designed around these qualification fields. It prepares a structured email so the buyer can review the information before sending it to XIAO TEA.

RELATED QUESTIONS

Questions buyers ask next

Do we need a finished formula before contacting XIAO TEA?

No. You need a clear market, application, volume and flavor brief; formula development follows qualification.

Should the RFQ include a target price?

A target cost-in-use or commercial range is helpful because it affects base and formula decisions.

Can one RFQ include multiple applications?

Yes, but identify the priority application. Additional applications expand the validation scope.
